Thank you for visiting the High School of Dundee website.  Your privacy is important to us. This Privacy Policy is where we explain to you what personal information is collected when you visit our site, how it is collected, how we may use that information, where we store it, how long we store it for, and how we protect it. We also explain your rights in relation to your personal information within our full Privacy Notice.

WHAT INFORMATION IS COLLECTED

You may provide us with information about you or your child by filling in forms on our site, for example when applying for a place at school for your child, or by submitting an enquiry through our Contact Us form. These forms collect personal information such as names and contact information as well as any supporting evidence you provide. All information is collected and stored electronically and securely. Payment card information given through the website for the purpose of making an application or completing a transaction within our shop is not stored by the school.

HOW WE USE THIS INFORMATION

We will use the information you supply to provide you with the information and services that you have requested from us. We may share your personal information within the organisation if this is necessary to answer your query.

Occasionally, we may need to share personal information with third parties, such as professional advisers (lawyers and accountants) or relevant authorities (HMRC, police or the local authority).

For the most part, personal data collected by us will remain within the School and will be processed by appropriate individuals only in accordance with access protocols (i.e. on a ‘need to know’ basis).

VISITORS TO OUR WEBSITES

When someone visits www.highschoolofdundee.org.uk we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

Online Application Forms

What we will we do with the information you provide to us?

All of the information you provide during the process will only be used for the purpose of progressing your application, or to fulfil legal or regulatory requirements if necessary.

We will not share any of the information you provide during the admissions process with any third parties. The information you provide will be held securely by us and/or our data processors whether the information is in electronic or physical format.

We will use the contact details you provide to us to contact you to progress your application. We will use the other information you provide to assess your application for a place for your child at the High School of Dundee.

What information do we ask for, and why?

We do not collect more information than we need to fulfill our stated purposes and will not retain it for longer than is necessary however, if you do not supply all the necessary information, we will not be able to process your application. 

How long is the information retained for?

If your child/children are enrolled in the School, the information you provide during the application process will be retained by us as part of your child’s file for the duration of their attendance at the School plus 7 years following them leaving.

If your application is unsuccessful or you withdraw your application, the information you have provided until that point will be retained in our database should you wish to apply again at a later date. The information gathered through the website will be deleted one year after the expected admission date.  

Open Morning Registration

The purpose of the Open Morning Registration form is to ensure your visit to the school is as meaningful to you as possible.

The information provided will be transferred to our prospective pupil database which is used to keep prospective pupils up to date on admissions information.  Should your child attend the School, this information will be transferred to the pupil file.  If your child does not attend the School the information will be deleted one year after the expected admission date.

Newsletter Sign-Up

To sign up to the newsletter, we only require you to enter your email address.  This information is stored on the server of our web developer in the UK.  Should you wish to unsubscribe from this service at any time, there is a button to facilitate this at the bottom of each newsletter.

Contact Us Enquiries

Our contact form gathers basic information such as name, telephone number, email address and any information supplied by you in the course of your enquiry.

We will use this information to answer your query and may need to share it within the organisation in order to fulfil your request.

Keep in Touch

Our Keep In Touch form gathers basic information such as name, email address and any information supplied by you to allow the School to keep in touch with you as an alumni.

We will use this data to communicate with you by your preferred means, but you can opt-out at any time by emailing development@highschoolofdundee.org.uk

Online Donations

When you make a donation that qualifies for Gift Aid, we are obliged to retain certain information such as your name and address for tax purposes. This information is then passed to HMRC to facilitate our Gift Aid claim. We must keep this data for the current tax year, plus six years.  We also ask for your email address on this form, to allow your donation to be receipted. Payment card information entered on the online donation form is not stored by the school.

You also have the option to elect to receive communications from the school by various methods should you care to.  This data is stored within the school alumni database.  Should you wish to stop receiving communications you can opt-out at any time by emailing development@highschoolofdundee.org.uk

Online Shop

When you make a purchase from the online shop, certain information is required to fulfil your order, such as your name and address.  This information is stored on the web developer server and deleted after 180 days.
